Managing your email like a Pro
Email management can be a powerful tool for communication and organization, but it can also be overwhelming if you don't have a system in place to manage it. Here are some tips for managing your email:
1. Create folders and labels to organize your email. This can help you keep track of important messages and easily find what you're looking for. I love using a smart mail box.
2. Use the "star" or "flag" function to mark important emails. This will help you prioritize what needs your attention first.
3. Unsubscribe from emails you no longer want to receive. This will help reduce the number of emails in your inbox and make it easier to manage. In gmail you can search “unsubscribe” and create a filter.
4. Use the "delete" and "archive" functions to keep your inbox clean. If you no longer need an email, delete it. If you need to keep it for reference, but don't need it in your inbox, archive it.
5. I personally don’t like to Use the "snooze" function to temporarily remove emails from your inbox.
6. Set aside specific times of the day to check and respond to emails. This can help you stay focused and avoid constantly checking your inbox.
7. Use the "cc" and "bcc" functions appropriately. "Cc" stands for "carbon copy" and is used to send a copy of an email to someone who is not the primary recipient. "Bcc" stands for "blind carbon copy" and is used to send a copy of an email to someone without the primary recipient knowing. Use these functions wisely to avoid cluttering someone's inbox or accidentally sharing sensitive information.
8. Stay on top of it. Action what you can right away. Why procrastinate something to later.
Managing your email takes discipline and organization, but it's worth the effort. By following these tips and finding a system that works for you, you can stay on top of your email and use it as a tool to help you stay organized and productive.
